Privacy

What we store

• Building records you enter: address, certificate-of-occupancy date, storey count, coastal distance, unit count.
• Inspection and reserve-study records, including the licensed professionals named on them.
• Reserve budget figures you enter.
• Documents you upload.
• Account details for the people you invite: name, email address and role.
• An audit trail of who changed what and when, and a log of every reminder sent.

Who can see it

Only people you have invited to your account. Records belonging to one association are separated from every other account at the data layer. Unit owners exercising their statutory right to inspect association records see a read-only view scoped to their own association, and only the documents your board has marked owner-visible.

Where it lives

Microsoft Azure, in the United States. Documents are held in private storage; every download passes through the application and is scoped to your account, so no public link to a document is ever created.

Processors we use

• Stripe — subscription billing. Card details go directly to Stripe and never reach HOAMilestones.
• Microsoft Azure — hosting, database, document storage and transactional email.
• Anthropic — AI drafting, where your plan includes it. Only the structured compliance figures needed for a draft are sent, and only when a user asks for one.

Retention

Documents are retained for at least fifteen years from the date the record carries, per Florida's association records requirement, and are not deleted when a subscription ends. That obligation belongs to the association. Ask us and we will export your records in a portable format.
