Last updated August 2026. These terms govern your use of HOAMilestones, a service of BassTech Consulting Group, LLC.
HOAMilestones is a records and scheduling tool. It stores, organises and tracks the findings of licensed professionals engaged by an association, and it calculates inspection and reserve-study deadlines from a table of jurisdiction rules.
HOAMilestones is not an engineering or architecture firm. It does not perform inspections, does not assess or certify structural soundness, does not prepare reserve studies, and is not a substitute for the judgment of a licensed engineer, architect or reserve specialist. Nothing in the service is engineering advice.
HOAMilestones does not provide legal advice. Deadlines it calculates are a convenience based on the jurisdiction rules on file and the information you enter. The association remains responsible for confirming its obligations with its local building department and its own counsel. Every calculated date is editable on the building record for exactly that reason, and every date is displayed with the statute or ordinance it was derived from so you can check it.
Deadlines are computed from the certificate-of-occupancy date, storey count and coastal distance you supply. A wrong value in any of those produces a confidently wrong date. HOAMilestones cannot verify these against county records and does not attempt to.
Where your plan includes them, draft communications are generated by an AI model from figures already in your own records, and are always marked as AI-generated. HOAMilestones does not send them. A notice issued to unit owners over your board's name is your board's statement, and you are responsible for reviewing every figure and every sentence before it goes out.
Documents you upload are retained for at least the statutory fifteen-year window, measured from the date the document itself carries. Nothing is ever automatically deleted, including after a subscription ends. The retention obligation belongs to the association, not to its billing relationship with us.
If you cancel, your account moves to a read-only compliance-archive mode: your records remain available to read and export indefinitely, and only the ability to add or change records stops.
Deadline reminders are a convenience and are sent on a best-effort basis. Email delivery is not guaranteed, and a reminder that does not arrive does not extend a statutory deadline. Do not rely on reminders as your only control.
Records belonging to one association are isolated from every other account at the data layer, and that isolation is covered by an automated test suite that runs against a real database before each release.
To the fullest extent permitted by Florida law, BassTech Consulting Group, LLC is not liable for any missed deadline, regulatory penalty, assessment, repair cost or other loss arising from your use of the service. The service is provided as-is.
